Hospitality and wellness-resort software: competitive analysis

Executive summary

The short answer: no commercial product runs a multi-week wellness program with in-stay treatment booking from end to end. The market splits into three kinds of software that a resort like Hippocrates has to stitch together. Hotel systems (Mews, Oracle OPERA Cloud, Cloudbeds, Apaleo, Stayntouch, ThinkReservations) run rooms, bills, check-in and housekeeping well, but none of them books a therapist, a treatment room and a piece of equipment together. Spa and wellness systems (Agilysys Spa and Book4Time, Zenoti, Mindbody) book treatments well but do not run rooms. Retreat booking tools (Retreat Guru, Bookinglayer) sell multi-day programs with rooms and meals, but do not schedule treatments by therapist. A separate layer of guest messaging and check-in tools (GuestTouch, Duve, Canary, Akia, Intelity, Alliants) sits on top and mostly sends guests links rather than giving them an account.

Mews is the strongest modern hotel system for an independent property. It won Best PMS at the HotelTechAwards for the third year running in January 2026 [23], it has the clearest documented guest journey from booking to check-out [1][2][3], and it is open to other software through a published interface with real-time events [20]. It has no treatment scheduler of its own. It sends spa work to 16 partner products [8].

The three or four products closest to what Hippocrates needs:

  1. Agilysys (Stay hotel system + Agilysys Spa or Book4Time + Guest App + Book). It is the only vendor that owns the hotel system, the spa scheduler, a branded guest app and a package-booking tool. Its spa product schedules therapists, rooms and equipment together and shows therapists their commissions [92]. Agilysys also owns ResortSuite, which Hippocrates already pays for, and Book4Time, Mews' best-known spa partner [108][94]. Much of its guest-side story is vendor marketing only [98][100].
  2. Mews plus a spa partner. This is close to Hippocrates' current setup. It gives the best front desk, housekeeping and security posture, but leaves programs, treatments and the guest itinerary to other software [8][10][19].
  3. Zenoti, as the treatment engine beside a hotel system. It checks therapist and room availability at the same time, records rooms' equipment, keeps charts, intake and consent forms, posts charges to the room bill, and says it signs a HIPAA business associate agreement for medical-spa clients [142][143].
  4. Retreat Guru or Bookinglayer, as the program model. Retreat Guru sells fixed-date and fixed-length programs with shared rooms, meals and waitlists [162]. Bookinglayer claims a guest portal with an itinerary and self-service changes [169] [marketing]. Neither schedules treatments by therapist.

The biggest gaps between these products and a custom system like HNS:

  • No product shows a guest viewing and changing a multi-week treatment schedule across therapists, rooms and equipment, and none documents "this program includes N treatments" tracking.
  • Health information: only Zenoti states plainly that it signs a HIPAA business associate agreement, and only for medical spas [143]. No hotel system or guest-messaging tool says it will.
  • Guest identity: most products identify guests by a link in an email or text message, not an account. Push notifications to a guest app are rarely documented.
  • Payments: only Cloudbeds and ThinkReservations document Authorize.Net support [33][134]. Mews expects its own payment service [6][18].
  • Hippocrates' other tools: no product documents a ready-made connection to Dialpad, Cin7 or practitioner Outlook calendars.

ResortSuite is now an Agilysys product, and that matters right away. Agilysys bought ResortSuite in January 2022 and no longer markets it under its own name. The old website redirects to a single acquisition notice [108][109]. Per Allodial's notes, Hippocrates pays about $4,000 a month for Mews and ResortSuite combined. That makes ResortSuite's future with Agilysys a near-term question for Hippocrates, and it is also a source of leverage.

Judgment: buy the parts that are the same at every hotel: room inventory, bills, payments, housekeeping, channel distribution and point of sale. Build the parts that make Hippocrates different: the program and entitlement engine, the guest itinerary app with a lasting login, the treatment-booking experience, practitioner calendar sync and the connections to Dialpad, Cin7 and Shopify. Section 8 explains why.

How to read this report

Symbols in tables: ✓ included · + paid add-on · P partner or marketplace integration · ~ partial · ✗ not offered · ? unknown. A "?" means the research found no source. It does not mean the feature is missing.

Labels: "[marketing]" marks a claim found only in vendor marketing. "[unverified]" marks a claim from a third-party listing or a search-result title that was not opened, or one the vendor did not confirm. "Judgment" marks our own view.

Sources: numbers in square brackets point to the numbered list in Section 12. All sources were accessed 2026-10-19 unless a date is given there. Hotel Tech Report is abbreviated HTR.

Columns: each user-type chart is split in two so it stays readable. Chart A covers hotel systems. Chart B covers resort-spa, wellness and retreat products. The "Agilysys" column means Agilysys Stay with Agilysys Spa and/or Book4Time. "SMS|Host" means Springer-Miller SMS|Host with SpaSoft. Shiji Daylight is left out of the charts because almost every cell would be "?". Its few documented features are in Sections 6 and 9. The guest-app layer (GuestTouch, Duve, Canary, Akia, Intelity, Alliants) appears in the guest sign-in table in Section 4.

Evidence quality: public documentation is deep for Mews, Cloudbeds, OPERA Cloud, Agilysys Stay and ThinkReservations. It is thin for Stayntouch, Apaleo's user interface, ResortSuite, SMS|Host and Shiji. For those products, most detail sits behind customer logins.

Guest sign-in and journey: how a guest identifies themselves at each stage

The industry default is a link, not a login. Most stay-centered products send the guest a unique link by email or text message, and that link is the credential. The guest types nothing. Anyone who has the email can act on the booking. Three other patterns exist. Agilysys and Cloudbeds use a typed lookup key such as a reservation number plus last name [96][32]. Duve lets the property choose among several fallback methods [172]. Wellness platforms (Zenoti, Mindbody) use a lasting consumer account with a password [148][156]. Only two products document a second step at sign-in for guests: Mews sends an email code to guests who booked through an online travel agency [1], and Duve lets the property turn on two-step protection [172]. No product documents push notifications to a guest app.

Alliantsn/a?Contactless check-in; optional mobile key [176].Automatic itinerary claimed [176] [marketing].Folio review and payment [176] [marketing].Sign-in not documented [176].

What this means for HNS (Judgment). HNS gives guests an app with push notifications. Among everything researched, only the Agilysys Guest App and the Mindbody branded app clearly use a lasting account, and neither documents push. For a guest who returns to the same schedule every day for several weeks, a link-only portal is weaker than an app that remembers the guest. The Intelity reviewer's complaint shows the opposite failure. The best pattern found is Duve's: the property picks which sign-in methods to allow, and two-step protection is optional [172].

UX notes per user type

Quotes are exact and limited to one or two per point. Review sites carry very few reviews for the spa and retreat products (Book4Time has 10 on Capterra, ResortSuite has 1 on HTR [113][112]), so treat those as anecdotes.

Guests. Mews shows the most complete documented self-service: online check-in with a passport scan, kiosk, messaging and online check-out [1][2][3]. A hotel manager on Capterra (Luca M., 2026-01-17) singled out the "Passport scan directly in the online check in" [27]. The weak spots are structural. Mews only offers add-ons at check-in when the service is set to "Before check-in", and only for single reservations [1]. Cloudbeds limits self-cancellation and self check-out by booking channel [32]. Retreat Guru's returning-guest identity was weak in 2019: a reviewer wrote that "each registration is tied to an i.d. number", which created duplicates (Capterra AU, 2019-03-15) [167]. That may have been fixed since.

Front desk. Reviewers like fast check-in. Of Stayntouch, a front-of-house manager wrote "I really like the design and how quick is the process for a check in" (Capterra, 2023-01-14) [70]. That review is the newest one on Capterra, so the data is stale. OPERA Cloud users praise browser access but complain about clicks: "No shortcuts and you have to process 5000 clicks more than in V5" (Capterra UK, 2025-06-15) [87]. Mews' money handling has documented friction. Its own help center says "At the moment you cannot split charges on a bill in Mews Operations" [13], and customers have a long-running feature request for it [187]. A mid-stay room move means splitting the reservation [12]. An operator taking payments outside Mews called manual entry "one of the biggest pain points" (Mews Community, May 2025) [18]. ThinkReservations lacked card pre-authorization for incidentals as of 2024 (Capterra, Jim M., 2024-04-25) [130].

Housekeeping. Mews with Flexkeeping is the best-documented mobile experience. Housekeepers see room status, do-not-disturb, turndown, standard procedures, tasks, repairs, inspection checklists, minibar and linen in one room view [10]. A Capterra reviewer (owner, 2026-01-26) noted that "housekeeping benefits from clear real-time room status updates" [27]. Cloudbeds lets staff update status and assign housekeepers from its phone app [34].

Spa and treatment staff. Agilysys Spa's Therapist Portal shows "appointments, commissions, and total earnings" on phones and tablets [92] [marketing]. Book4Time reviewers are mixed. One owner wrote "Sometimes it is hard to move appointments and make group bookings" (Capterra, 2021-09-28) [113]. An IT manager called it "a very powerful tool for scheduling and managing appointments" (Capterra, 2025-12-15) [113]. Zenoti has a learning curve: "It was not the most intuitive to use and has a learning curve" (Capterra, Alina L., Health/Wellness program manager, 2025-10-14) [146].

Reservations, sales and groups. HTR's review summary for Mews reports "cumbersome group and billing workflows" [28]. That is an aggregator summary, not a reviewer quote. Retreat Guru's automatic waitlist is a long-standing strength [161][167].

Management and finance. Reporting is the most common complaint across products. On Mews, a hotel manager wrote "there is still room for improvement in advanced reporting and analytics" (Capterra, 2026-09-22) [27]. On Cloudbeds, a proprietor wrote "Their reports are unable to accurately show commission payments" (Capterra, 2026-02-13) [39]. That matters for HNS staff commissions. A Zenoti user wrote "There is no option for creating your own reports" (Capterra, 2025-12-23) [146]. ThinkReservations is the exception: "The reporting is great" (Capterra, 2024-04-25) [130].

Maintenance. No reviews were found for any product's maintenance features.

Food and beverage, and retail. Book4Time's point of sale is "a little unfriendly" and needs separate software to print receipts (Capterra, IT manager, 2025-12-15) [113].

Admins and IT. Cloudbeds' two-step sign-in is email-only: "The 2FA security codes only get sent to our main email address" (Capterra, 2026-08-06) [39]. ThinkReservations requires MFA for every user and expires passwords every 90 days [135]. Support speed is a recurring theme. On Mews: "waiting two days for help is completely unacceptable" (Capterra, 2025-11-12) [27]. On Zenoti, a reviewer said it has "only a AI bot and chat feature which is slow to respond" (Capterra, 2026-01-27) [146]. HTR rates Mews support 4.3, its lowest sub-score [28].

HNSStack: .NET 9 web API and Entity Framework Core 9 on Microsoft SQL Server; an Angular 20.3 web app; a second .NET app for document signing.
PDFs are made with EvoPDF, which runs on Windows only, so the backend needs a Windows server. The delivered build was published to a folder for IIS, with no build pipeline.
Background jobs (Hangfire), run in UTC as delivered and on New York time in Allodial's version: overdue work orders (every 10 minutes), check-in and check-out statuses (3-hourly), dirty rooms at noon, GuestTouch sync, Cin7 stock checks (5-minutely) and product sync (6 AM and 6 PM), commission on settled payments (6-hourly), and promotion expiry (midnight).
Tests: delivered had none. Allodial's version has about 4,390 backend tests, 448 browser tests and 200 front-end tests, all passing, run at every merge. Allodial also added live calendar updates (SignalR).
An internal REST API for HNS's own web app: 40 controllers and about 454 endpoints delivered, 41 and about 472 in Allodial's version. It has a Swagger page, but isn't published or documented for other software.

Authorize.Net ✓ for cards and ACH, with these features:
- charge, hold and later capture, void and refund;

Implications for Hippocrates

8.1 What a program-stay wellness retreat needs that hotel systems handle poorly

Program entitlements. A Life Transformation Program guest buys a multi-week stay that bundles lodging, meals and a set of treatments. No product researched documents tracking "this program includes N treatments, M are used". The closest are Agilysys Book's per-guest package entitlements [100] [marketing] and ResortSuite's "Services, Programs, Activities" module [110]. Retreat Guru models programs and meals but not treatments [162].

Treatment booking against three constraints, with the guest able to rebook. Hotel systems hand this to partners [8][76]. Spa systems handle therapist plus room (Zenoti [142]) or therapist plus room plus equipment (Agilysys Spa [92]). No source shows a guest changing a multi-week schedule across all three.

Health information. Hippocrates collects intake data. Only Zenoti states that it signs a HIPAA business associate agreement, and only for medical-spa clients [143]. Mindbody's BAA is reported secondhand [153]. Mews' security page does not mention HIPAA [19]. GuestTouch's site does not mention it either [171]. Whether HIPAA applies to Hippocrates at all is a legal question this research does not answer.

A guest who returns daily, and again next year. Link-based portals (Mews, Cloudbeds, Retreat Guru) re-identify the guest per reservation [3][32][163]. HNS already has an app with push notifications. No researched product documents guest push notifications.

Several payers and house credit. Program guests often have a companion or sponsor paying part of the bill and leave early with credit. Mews needs workarounds for both: offset items to split a charge [13] and gift vouchers to hold credit [15]. OPERA Cloud and Agilysys Stay handle splits natively [83][101].

Practitioner tools. Commission reporting is a weak spot in Cloudbeds [39] and undocumented in Mews. It is a strength of Agilysys Spa and Book4Time [92][93]. No product documents Outlook calendar sync for practitioners.

Authorize.Net. Keeping the current gateway is documented only on Cloudbeds [33] and ThinkReservations [133]. On Mews, outside payments must be recorded by hand [17][18]. Stored Authorize.Net cards do not move automatically to a new processor [133].

8.2 Which products come closest

Agilysys stack (Stay + Spa or Book4Time + Guest App + Book + Pay)Rooms, money handling, therapist/room/equipment scheduling, commissions, native guest app with itinerary, package entitlements, Shopify gift cards [92][98][100][101][104]HIPAA BAA (?), Authorize.Net (?), public API (?), Dialpad, Cin7, Outlook; much guest-side evidence is marketing
Mews + spa partner (today's shape, with ResortSuite or Book4Time)Front desk, housekeeping, security, open API, payments, AI messaging [1][10][19][20][21]Programs, treatments, itinerary, intake and health data, commissions, two front ends for the guest [8]

8.3 Build versus buy or integrate (Judgment)

Judgment: HNS already does what no product does well: program stays with in-stay treatment booking in one guest app. The rebuild should keep that as Allodial-owned software and buy everything that every hotel needs. Mews is already paid for, has the best documented open interface of the tools Hippocrates uses, and pushes events in near real time [20]. It is a sound system of record for rooms, bills and payments under a custom program layer. That also fits a piecemeal replacement of HNS: one capability at a time can move behind Mews or into HOS without a big-bang cutover.

CapabilityRecommendation (Judgment)Reason
Room inventory, rates, channel distribution, bills, day closeBuy: keep MewsTop-rated, automatic midnight close [16], already paid for
HousekeepingBuy: Mews Housekeeping (Flexkeeping)Best in class [10]; in Pro or as an add-on [6]
Card paymentsDecide with Mews: Mews Payments vs. Authorize.NetIntegrated card-on-file and refunds need Mews Payments [17][18]. Ask Mews for a token migration from Authorize.Net
Program and entitlement engineBuildNo product documents it
Treatment scheduling (therapist + room + equipment)Build in HOS, after auditing ResortSuiteHNS already books treatments during a stay; the automatic scheduler is planned for HOS. Vendors do resource scheduling but not program-aware scheduling. Keep a clean interface so a commercial scheduler could be swapped in
Health intake and treatment notesBuild, in a store covered by a BAA, kept out of Mews and messaging toolsOnly Zenoti offers a BAA, and only for medical spas [143]. Get legal advice on whether HIPAA applies
Guest app (itinerary, booking, bill, push)BuildNo product documents push or a multi-week itinerary the guest can edit. Borrow Duve's configurable sign-in [172] and deep-link Mews' check-in and check-out [1][3]
Guest messagingEvaluate: GuestTouch vs. Mews Guest MessagingMews' AI messaging launched 2026-10-01 and is in Pro [21]. GuestTouch does not document check-in or payments [171]
AccountingIntegrate through the Mews marketplaceQuickBooks, NetSuite and Sage connectors exist [26]
Shopify, Dialpad, Cin7, Outlook practitioner calendarsBuild the integrationsNone exist ready-made on any platform researched
Commission and management reportingBuild reports on Mews and HOS dataReporting is the most common complaint across vendors [27][39][146]

ResortSuite is the swing factor. Agilysys bought it for about $25 million in January 2022 [108][116], promised customers a path to the cloud [108], and now redirects resortsuite.com to a single acquisition notice [109]. Its FY2025 annual report does not name it in the portion read [117]. Hippocrates pays for ResortSuite today (about $4,000 a month combined with Mews, per Allodial's notes). Allodial should find out what its SPA module does for Hippocrates now, and whether Agilysys has set an end-of-support date. If Agilysys plans to move ResortSuite customers to Stay plus Book4Time or Agilysys Spa, Hippocrates faces a migration either way. That is the moment to move the treatment and program logic into HOS.

Renames and quieter changes. The "rGuest" prefix no longer appears in Agilysys' FY2026 product list [91]. No retirement announcement was found, so this is an inference. ResortSuite is no longer marketed under its own name [109]. SpaSoft did not move to Agilysys: it remains with Springer-Miller under Constellation's Jonas group [121][122][123].

Conflicts between the research notes, and how they were resolved

ConflictOutcomeBasis
(a) Cloudbeds and Authorize.Net. One note says Cloudbeds supports it in the US; another found documented support only for ThinkReservations.Resolved: Cloudbeds supports Authorize.Net for the US, Canada and Australia. Re-checked 2026-10-19 against Cloudbeds' help article (updated 2026-07-09), which lists Authorize.net first among nine gateways [33]. The second note had not fetched that page. Caveat: API charges and pay-by-link need Cloudbeds Payments, and API refunds and voids are manual [35].[33][35]
(b) Mews customer count: 12,500 or 15,000.Resolved, with a caveat: use 15,000. Both figures come from Mews press releases ten days apart. The 2026-01-12 awards release says "Powering 12,500 customers" [23]. The 2026-01-22 Series D release gives "A customer base of 15,000" as a 2025 result [22]. Both re-checked 2026-10-19. The newer, results-based figure is the better one; the older one looks like stale boilerplate. Mews does not define "customer" (property or account), so neither figure is a property count.[22][23]
(c) Stayntouch ownership and funding.Resolved: both are true. Shiji agreed to sell Stayntouch to MCR for $46 million after a US government divestiture order (2020-08-31) [61]. Sixth Street Growth then invested $48 million of growth equity (2023-12-14) [60].[60][61]
(d) ThinkReservations' HTR resort rank: top 5, or #11 of 47.Resolved: both are true, on different HTR lists. Re-checked 2026-10-19. HTR's category page (updated 2026-09-30) shows ThinkReservations among the five "Best Property Management Systems for Resorts", recommended by 85 resort hotels; the page's ordering rule is unclear, and by recommendation count it is fifth of five [179]. Its product page ranks it #11 of 47 in the resort category by HTR's score [129]. The second is the stricter measure.[129][179]
(e) SpaSoft and ResortSuite/Book4Time ownership.Resolved. SpaSoft was bought by Springer-Miller in 2002 [121]; Constellation's Jonas group bought Springer-Miller in 2015 [122]; springermiller.com still links SpaSoft in 2026 [123], and Jonas lists SpaSoft among its companies [127]. SpaSoft is not Agilysys. Agilysys owns ResortSuite (closed January 2022, about $25 million) [108][116] and Book4Time (August 2024, about $150 million) [94]. Agilysys Spa is a separate product [92]. This matters because Hippocrates pays for ResortSuite today.[92][94][108][116][121][122][123][127]

Suggested demo script (Judgment). Ask each shortlisted vendor to show one scenario live: a guest books a three-week program that includes 12 treatments and all meals; a companion shares the room but pays for their own treatments; the guest fills in an intake form before arrival; on day 4 the guest moves a treatment to another therapist and room that needs specific equipment; on day 10 the guest leaves early and the unused value becomes house credit; at the end, a therapist sees their commissions. Have the guest side done on a phone, and note every time the guest has to sign in.

Part 2 · 19 October 2026

HNS feature set, in the format of the competitive analysis

Executive summary

HNS is a staff system. It runs rooms, stays, treatments, classes, payments, housekeeping, work orders and retail for one resort, and it schedules a whole multi-week program at booking. It has no online booking, guest check-in, kiosk, digital key or channel manager. Guests reach it only through links that staff send them, to pay or sign. A separate guest app signs in to it, but that app isn't in the code we hold.

Where HNS is stronger than the products in the analysis:

  • Programs with entitlements. A package carries its treatments with quantities, meals, products, events, house credit and gift cards. The package scheduler places every treatment at booking, with a free therapist and a free room, following the CFO's day rules. No commercial product in the analysis documents "this program includes N treatments" tracking.
  • One system for stays and treatments. Treatment charges, add-ons and tips land on the stay's folio. Commissions for therapists and program specialists are calculated in the same place.
  • Hippocrates' own tools are already connected: Authorize.Net, DialPad, Shopify, Cin7 Core, GuestTouch and Outlook calendars. The analysis found no product with a ready-made connection to Dialpad, Cin7 or practitioner Outlook calendars.

Where HNS is weaker:

  • Nothing for guests to do themselves: no booking engine, check-in, check-out, kiosk, key, loyalty or in-stay booking.
  • No standard hotel distribution: no channel manager, online travel agencies, group blocks or rate plans beyond one nightly rate per room.
  • Equipment can't be booked together with a room. An appointment holds one practitioner and one space, which is a room or a piece of equipment, never both.
  • No accounting connection (QuickBooks, NetSuite or Sage), no night audit, no multi-property support and no published API.
  • Health intake is a signed document, not data. Answers aren't stored as fields, and there are no treatment notes beyond free text.

What Allodial's version changed. The June package had most of these features, but many didn't work as intended. Examples:

  • the package scheduler was switched off, so every treatment was booked unscheduled;
  • the signing page showed guests nothing to read;
  • room moves dropped nights;
  • the dashboard's Payment Summary link opened a blank page.

Allodial's version fixes these. It also adds:

  • the override group and the CFO, Director of Operations and Office Operations Manager roles;
  • treatment-room closed dates;
  • calendars that update live;
  • screens that fit a phone.

Where that changes a feature's answer, both columns show it.

How to read this report

Symbols, as in the analysis: ✓ included · P partner or outside-service integration · ~ partial · ✗ not offered · ? unknown. A "?" means the code doesn't show it. It doesn't mean the feature is missing. "+" (paid add-on) doesn't apply to HNS.

Two columns per feature:

  • Delivered: the source the previous vendor delivered in June 2026 (commit 1757b236).
  • Allodial: Allodial's version on 2026-10-19 (main, commit bb9c9f09).

The live system Hippocrates uses today hasn't been checked. It runs a newer build than the June package, at least 18 database changes ahead (to 21 August 2026), so it may differ from both columns.

Evidence: every row is taken from the code, not from marketing. The evidence column names the screen, endpoint, file or Allodial ticket (ALL-nnn). Section 9 lists the main sources.

Left out: security, which the security review covers. The admin chart says only whether single sign-on and two-step sign-in exist. The "Security certifications" column of section 6.2 isn't filled in.

3.7 Maintenance and engineering

FeatureDeliveredAllodialNoteEvidence
Work orders~✓Work orders have a type, priority, date, start time, length, building, room, technician, vendor and attachments. Statuses are Scheduled, In Progress, Complete, Overdue and Canceled. An order can take its room out of service, and orders show on the calendar.
Delivered: the end date wasn't stored, so multi-day orders broke and nothing went overdue. Opening the list marked orders overdue, and progressing an order overwrote the room's status.
Allodial:

Guest sign-in and journey: how a guest identifies themselves at each stage

ProductBookingPre-arrivalCheck-inDuring the stayCheck-outDevice and app type
HNSNone. Staff book. The guest gets a "Reservation Confirmed" email with no sign-in. It links to the house rules, the terms and the Adobe Sign intake forms.A link in an email; nothing typed. The payment link opens with no code and works for 24 hours from its first send. The signing link also needs no code, and works until the document is signed. A separate signing site asks for an access code, but nothing in the code sends one.None for the guest; staff check in. Staff can print a badge per guest with a QR code. The QR sign-in isn't wired up in the code.A typed lookup plus an emailed code, in the guest app. The guest gives phone number, last name and birth year. The code is 4 digits delivered and 6 in Allodial's version, and lasts 15 minutes; a new code is needed for every sign-in. It only works during a stay. The session lasts until a day after check-out.None; staff check out. The app's session ends a day after check-out.Email links open in any browser, as pages of the staff web app. The guest app is separate, probably a native mobile app, and not in the code. No guest account or password exists anywhere.

UX notes per user type

Guests.

  • Emails: "Reservation Confirmed", "Payment Request", "Document Request", "Outstanding Balance Reminder" and "Your Hippocrates Wellness App Sign-In Code". Allodial: a cash, check or wire payment's email says "Payment received, awaiting approval", not "Payment Successful" (ALL-541 (Allodial reference number)).
  • The payment page: guests sign, initial each section of the terms with "Tap to Sign", tick two consent boxes and press "Sign & Submit Payment". The button turns off when the link expires.
  • A small mismatch: the sign-in code email says the code lasts 10 minutes; the server allows 15.

Front desk.

  • Dashboard cards give counts, not names. Seeing who's arriving takes a click through to a list.
  • Every Timeline drag opens a confirmation, with the price change and a "No Charge" switch.
  • Check-in is refused while money is owed, so the desk takes a payment first, or a manager overrides with a reason (Allodial).
  • Cards are mostly keyed in by hand. There's a swipe reader, but no chip terminal.
  • Allodial's walkthroughs counted 5 clicks to check in a paid guest and 14 to change a room. The client proposal suggests shorter paths.

Housekeeping.

  • Every status change needs a note, a plain Clean included. A room keeps one note, so there's no history.
  • No "my rooms" view; housekeepers filter the shared list.
  • "New Work Order" from Housekeeping doesn't carry the room over.
  • Marking a room clean takes about 9 clicks (Allodial's walkthrough).

Spa and treatment staff.

  • Day and week calendars by practitioner, room, guest, building or event, with saved views and an availability overlay.
  • Drags onto a busy host, a busy room or a mandatory class are refused, naming the clash. Allodial: calendars update live within about a second.
  • Allergies show only on housekeeping screens, not on the appointment a practitioner opens.
  • Outlook shows only the service name, and a practitioner's own Outlook busy time doesn't stop a booking.

Reservations and sales.

  • Booking takes three steps (guests and programs, details, terms and payment), then a success page.
  • Delivered: every program treatment arrived unscheduled, to be placed by hand.
  • On the Prospect Board, a new column added in the browser isn't saved.

Management.

  • Dates: Allodial's version shows one format everywhere ("Oct 5, 2026") on the resort's day; delivered mixed formats and UTC days.
  • Error messages: Allodial's version says what happened and what to do.
  • Revenue: each report counts it its own way. There's no total spend per guest or per specialist (requested, ALL-264 (Allodial reference number)), and no report that matches card settlements to bills.

Admins.

  • Roles can't be edited on a screen. Rights are set one person at a time, and a later change to a role doesn't reach existing logins.
  • Background jobs are managed only in the Hangfire dashboard and the settings file.

Backend and platform

6.1 Architecture, open interface (API) and payments

ProductArchitecture and hostingAPIPayments, and Authorize.Net
Webhooks received: Amazon email events, and DialPad calls and texts. No outbound webhooks.
Authorize.Net ✓ for cards and ACH, with these features:
- charge, hold and later capture, void and refund;
- cards and bank accounts kept on file;
- payment links;
- check, wire and cash recorded by hand;
- gift cards, house credit and promotions as tenders.
Card fee: delivered added 3% to every card charge; Allodial's version charges none (ALL-408 (Allodial reference number)).

What this means for the comparison

  • HNS covers the part the analysis says no product does. It schedules a multi-week program with its treatments at booking, books them by therapist and room, and keeps them on one bill. That's the "build" side of the analysis's buy-or-build judgment.
  • HNS lacks most of what the analysis calls "the same at every hotel": guest self-service, distribution, point of sale, revenue management and accounting connections. Those are the "buy" side.
  • Equipment scheduling is the clearest gap in what HNS already claims to do. A treatment that needs a room and a piece of equipment can't be booked as one appointment.
  • The guest app is the largest unknown. It decides whether HNS has a guest journey at all today, and its schedule screens wouldn't work against Allodial's version as it stands (handover/HNS-Migration-Brief-for-Architect_rev3.md).
